For organisations registered before CROS, the Registry provides an association process linking verified CRA identity to historic company or business records. The Registry reviews the association before the applicable role can transact.

Why the historical record needs linking

CROS identifies people through verified CRAs, whereas many older companies and partnerships were formed before these electronic identities existed. An individual might have served as a company director for a decade without ever using CROS. The Registry cannot safely assume every similarly named person is the correct authorised filer.

The association step connects a person's CRA Identity PIN to the relevant Registry record and intended role. According to the Registry, directors, secretaries and partners of entities formed before CROS must establish an association to transact on those entities' behalf. Ownership and beneficial ownership associations can also help keep the records accurate.

Choose the correct entity and identifier

Begin with the company's Certificate of Incorporation or the firm's registration records. Find the exact registered name and identifier. The Registry also provides an online search link if an applicant does not know the identifier. Do not guess based on a trading name that differs from the actual corporate name.

A company and a partnership have different role paths. For example, a partner associated with a firm should not select the director role as though the firm were a profit company. The association must correspond to the legal position actually held and the record on the Registry.

Submit the association in your individual CRA

The Registry's associations instructions say individuals can indicate associations when first registering for a CRA or later by signing in using the Individual Role, opening My Account and selecting Associations. Enter the company or business identifier, add the association and save. Registry verification then links the authorised electronic identity to the historic record.

If the existing CRA contains an old surname, wrong address or a conflicting identity record, resolve that problem through the proper CRA update route. An association should not be used to work around mismatched names or missing legal appointment information.

Wait for the correct role activation

After the Registry reviews the association, the user can activate or use relevant director, secretary or partner roles according to the CRA guidance. Those roles provide access to certain company or firm transactions. A shareholder or beneficial owner classification is not automatically the same as authority to file on behalf of a company.

A person preparing an overdue annual return may discover that they cannot reach Post Incorporation services until the correct director or secretary role is activated. Solve role access first, then assemble the return and confirm the appropriate CROS e-signature or filing instructions.

Fixing a wrong or obsolete association

A former company secretary should not continue using an obsolete role if the appointment ended. The Registry explains that associations are normally removed automatically when it receives the correct notice of a person's cessation, such as a change-of-secretary or change-of-particulars filing.

Where the Registry records remain outdated, a company may need to resolve the underlying officer filing. Keep appointment evidence, prior documents and Registry correspondence available. Do not create duplicate personal accounts just to make the existing entity appear.

A real-world handover scenario

A company incorporated years ago appoints a new director who wants to submit the next annual return. Both the company's historic record and the director's present CRA information must align. The company checks that the director's appointment was properly notified, and the director establishes the relevant association and role. Only then should the filing team proceed.

This sequence prevents wasted fees on incomplete submissions and reduces the risk that a director authorises a document before the Registry recognises their role. Maintain an internal list of the people responsible for CRA-related approvals without retaining their private login credentials.

Action checklist

  • Locate the exact legal company/firm name and Registry identifier.
  • Verify the individual's CRA personal details and legal role.
  • Use My Account → Associations where the Registry directs.
  • Wait for Registry review and confirm the intended role activation.
  • Resolve missing historical appointment or cessation filings.
  • Protect individual CRA credentials during document preparation.

Questions people ask

Why is my old company missing after I log in?

The individual CRA may still need an association connecting the verified person with a pre-CROS registered entity.

Can a shareholder use the director filing role?

Not solely by being a shareholder. Filing access depends on the proper role and legal authority.

Does a new CRA automatically update old company records?

No. The Registry has an association and verification process for historic entities.
