CROS requires applicants to disclose former names and supply documentary evidence of relevant legal name changes. The document trail needs to connect the birth record with the present identity documents.
Which documents the Registry actually compares
The CRA process requires an applicant's birth certificate, two forms of identification and a photo holding one of the supplied photo IDs beside the face. For Trinidad and Tobago nationals, the account application also uses the birth certificate PIN to identify the birth record. The Registry verifies names and the person's identity before activating the account.
This creates a common issue for applicants who married and adopted a surname, changed a name by deed poll, or have different middle names across records. A birth certificate may correctly record the original name while the current ID correctly shows a later name. The Registry needs evidence that the records relate to the same person and that the change was legally effected.
Match the paper trail to the change
Start with a simple document inventory. Record the full name on the birth certificate, the full name displayed on each photo ID, the name currently entered in CROS and every former name that must be disclosed. Then identify which supporting legal document connects the earlier name with the later one. Common examples are a marriage certificate or deed poll, depending on what changed.
Do not assume that a social-media profile, bank card or informal letter will satisfy a request for legal evidence. If a typo appears in one document, determine which issuing body is responsible for correcting it. The Companies Registry can review a name-change submission, and another authority may need to amend an underlying official record first.
File the CRA details in the correct form
The Registry's electronic registration instructions expressly ask for full and former names and deed poll or other evidence where a name has changed. During the initial application, upload the documentary proof in the relevant part of the process. Maintain legibility: a cropped marriage certificate or blurred surname can turn an easily resolved application into another round of correspondence.
If the person already has an active CRA and later changes their legal name, the Registry's account guidance directs them to sign in under the individual role, open My Account and Name, enter the new particulars and date of change, upload supporting evidence and one photo ID with the new name, and save the changes for Registry review.
A practical example
Consider an entrepreneur born as Alisha Thomas who now uses Alisha Singh after marriage. Her birth certificate reflects Thomas, while her passport shows Singh. The application should show the former name and the new identity consistently and include the marriage certificate where it evidences the change. The applicant should also confirm that the email and residential address are current.
Suppose a second founder enters a shortened name such as 'A. Singh' in the company incorporation paperwork while the CRA shows 'Alisha Singh'. A mismatch between participant records can delay role approval or force corrections. Confirm every director's, incorporator's and partner's name before reserving a company name or arranging time-sensitive signatures.
What to do with a query
If the Registry queries the account, respond to the specific missing or inconsistent information and retain a copy of the correspondence. Where the query concerns a document image, submit a clearer version if requested. Where it concerns a legal name discrepancy, show the supporting record and explain the chain of names in chronological order. Avoid submitting private documents through unrelated public channels.
A CRA may be part of several subsequent filings. Delays at this first stage can affect name reservation, company incorporation and post-incorporation changes. Resolve identity discrepancies early, especially when multiple people must approve their roles through CROS within a reservation window.
Build a name-matching record before submission
A useful preparation sheet has four columns: name as shown on the birth certificate, name as shown on each current photo ID, evidence linking the names and the date the change took effect. In a marriage example, the birth surname and current married surname can be connected by the marriage certificate where the document supports that change. If there were several legal name changes, show the sequence so that a reviewer can follow it without guessing which record came first.
Check initials, hyphens, spaces, middle names and the order of surnames. A computer system may treat a missing middle name differently from a human reviewer, and an unclear scan can conceal the information needed to connect records. The applicant should not alter a scanned document to make the names match. Corrections to underlying official documents belong with the responsible authority, and the application should use genuine evidence of the actual legal identity.
After the CRA is approved, review the personal profile that CROS carries forward into subsequent transactions. If a legal name changes again, update the individual CRA through the Registry's published process rather than creating competing accounts. Business owners should arrange this before directors or partners are expected to approve time-sensitive filings.
Action checklist
- Compare the full names on your birth certificate and both forms of photo ID.
- Identify the legal document connecting a former surname or name to the current one.
- Review the Registry's separate rules for initial CRA applications and updates to existing CRAs.
- Upload complete, legible copies using the official account workflow.
- Track any Registry queries and keep a dated record of responses and approvals.
Questions people ask
Can I apply with my married surname?
The CRA application provides for former names and relevant supporting name-change documents. Make sure the current name and the evidence connecting it to the birth record are consistent.
Do I need to create a new CRA when my name changes?
The Registry provides a process for updating the existing individual CRA's name details. Follow that update process and await Registry review.
Should I send my passport and PIN through WhatsApp?
Use the official Registry upload workflow for sensitive identification documents. Never share CRA account credentials or one-time login codes.
