NIBTT provides different registration routes for employers and first-time employees. The right next step depends on the worker's actual registration history.
Find out whether the person was registered before
Some workers misplace an NIS card or forget a previously assigned number. Ask the worker to verify their position through appropriate NIBTT procedures rather than treating uncertainty as a first-time registration.
Keep the discussion confidential. An employee's national identification, birth certificate and National Insurance particulars should be handled through authorised employer processes, not requested in a public post or group chat.
Understand the first-time employee form
NIBTT publishes NI 4 in its contributor registration forms for a person entering employment for the first time. That form is different from NI 1, which is used to register the employer.
Check the current NIBTT guidance for the supporting information and applicable procedure. If a worker has been registered previously, a first-time application may be the wrong route and cause avoidable records problems.
Make sure the employer is registered appropriately
Employee details are only one side of the payroll setup. An entity that hires workers may also need to complete its employer registration within the relevant timeframe set out by NIBTT.
Maintain a separate checklist for the employer's legal name, registration details and payroll records. Do not assume that obtaining a number for an employee completes the employer's separate statutory duties.
Prepare a secure worker-information file
Record the employee's correct legal name, start date, contact particulars and verified identifying details needed for legitimate payroll administration. Keep records in an access-controlled location with appropriate backup and retention practices.
Where information is missing or inconsistent, seek confirmation from NIBTT or from the worker through the correct channel. Guessing spelling, identification digits or a date of birth is not a safe shortcut.
Plan the next payroll and contribution steps
Once the correct registration particulars are in place, the employer still needs to consider contribution obligations, payroll deductions and accurate records under NIBTT's current rules.
BizReg Consulting offers employer-registration assistance. The employee's official National Insurance status is determined through NIBTT, while continuing payroll and remittance obligations remain the employer's responsibility.
