Published bank requirements show that stamp use is context-dependent. First Citizens asks for a business stamp for a limited company if it is prescribed in the company’s by-laws, and lists a stamp for sole traders if one is used for the business. Republic Bank’s published sole-trader checklist also lists a company stamp for registered entities.
A self-inking stamp is an administrative identifier
A business or company stamp typically repeats basic registered information—such as the business/company name—so routine documents can be marked consistently. It can support internal administration, bank forms, letters or third-party paperwork where the recipient asks for it.
The stamp is not the Certificate of Incorporation or Certificate of Registration. It does not prove that the company is in good standing, that a person has signing authority, or that a Registry filing has been made.
Bank requirements show why the answer is not universal
First Citizens' current limited-company account checklist lists a Business Stamp if prescribed for use in the Company's By-Laws. Its sole-trader checklist lists a business stamp if utilised for the business. For partnerships, the same checklist lists a business stamp if utilised.
Republic Bank's published sole-trader Commercial Chequing Account checklist also lists a company stamp for registered entities. These differences are why the first question should be “Which bank and which business type?” rather than “Does every company legally need the same stamp?”
The company by-laws matter
The Companies Registry explains that company by-laws govern internal operating rules and are kept by the company at its registered office. First Citizens expressly connects stamp use to the by-laws in its limited-company account requirements.
If the company's governance documents prescribe a particular seal or stamp process, follow those documents. If they do not, follow the requirements that apply to the company, bank and intended use.
A stamp does not replace a company resolution
Banks may ask for a company resolution identifying the authorised account signatories and their signing authority. First Citizens lists that resolution separately from the business stamp.
That distinction matters. The stamp marks the document; the resolution records the company's decision and authority. A stamped letter without the required corporate authority can still be incomplete.
A stamp does not replace Registry records
A bank can ask for the Certificate of Incorporation, Articles, Notices of Directors, Secretary and Address, beneficial ownership/shareholder information and identity documents. The stamp does not substitute for any of those records.

What information should go on the stamp
The appropriate wording depends on the intended use and the entity's correct registered name. For a company, use the registered company name exactly as recorded. For a registered business name, use the registered business name accurately.
Avoid adding registration claims, professional designations, licence numbers or addresses that are inaccurate or likely to become outdated without a reason.
Order the stamp after the registered details are settled
If the company name has not yet been approved or the entity has not been registered, producing a final stamp can create needless rework. The Companies Registry warns applicants not to use a proposed business/company name in advance of the registration/incorporation certificate.
For a new company, wait until the final registered name is known and then order the stamp from the confirmed company details.
