At a glance

Decide who will own the company, register the appropriate trading identity, and create a site-specific costing system. Employer registration, commercial contract terms and documentary proof of insurance or capability should be considered before bidding for recurring commercial work.

Define which cleaning work you can deliver

Residential cleaning, office janitorial contracts, post-construction cleaning, upholstery cleaning, floor polishing and sanitation programmes have different equipment, staffing and risk profiles. Start with a service specification that says what is cleaned, how often, with which materials and to what standard. Commercial clients expect a scope they can measure.

Avoid promising specialised disinfection, hazardous waste treatment or industrial services without appropriate training, supplies and verification of the applicable rules. Record exclusions in the quotation so that a fixed monthly price does not quietly grow into unlimited work.

Choose the legal structure and register with the Companies Registry

A solo operator may use the individual business-name registration route. A larger contractor with several owners, a fleet or significant contractual liabilities might explore a profit company. The Companies Registry explains that an individual or a firm registers a business name, while a company is incorporated under a separate process.

The CROS pathway begins with the relevant CRA, suitable name selection and reservation, and the filing for the chosen structure. Government fees listed for individual business-name registration include TT$20 for name reservation and TT$220 for registration. Reserve the name and complete the certificate process before representing your business as officially registered.

Calculate the true cost of each location

Price by labour hours, staffing levels, location, access restrictions, consumables, travel, equipment wear and management time. A 2,000-square-foot office that needs three visits a week is a different job from a clinic requiring daily cleaning at several fixed times. Record cleaning frequencies by room rather than relying on square footage alone.

Build a costing sheet with expected monthly wages, lawful deductions and contributions, transport, chemicals, garbage bags, replacement tools, uniforms, insurance, supervision and an allowance for sick leave and staff replacement. Add the margin you need after expenses. A price that cannot cover replacement labour is not a sustainable contract price.

Write commercial cleaning agreements carefully

The statement of work should specify work areas, schedule, service levels, who supplies water and electricity, who provides consumables, entry-key procedures, site safety rules, equipment storage and escalation contacts. Require written approval for extra tasks and changes in frequency.

Specify start date, invoicing period, due date, service review arrangements, how complaints are recorded, how either party ends the agreement and who approves extra charges. A site walkthrough checklist and dated photos, obtained with the client's permission, help reduce disputes. For sensitive premises, document confidentiality and access controls.

Prepare for staffing, PAYE and NIS

If you recruit cleaners or supervisors as employees, check PAYE and NIS obligations before they start. NIBTT states that an employer must register within 14 days of hiring the first employee. Record employees' start dates, pay, attendance, the correct employer identity and contribution records.

A contractor calling workers 'self-employed' must still evaluate the actual working relationship. If workers receive your instructions, use your equipment and follow scheduled shifts, the label on an invoice does not resolve every employment question. Seek appropriate tax and employment advice where the position is uncertain.

Build evidence for larger tenders

Corporate and public-sector buyers may request your registration certificate, tax information, references, capacity statement, staff training records and insurance documents. Create a concise company profile with sites served, team capacity, equipment, management contact and a quality-control plan. Never state that accreditation, certification or registration has been granted unless you can provide evidence.

Government procurement routes have their own qualification and supplier registration processes. TTBizLink publishes e-Vendor registration information for firms bidding through Central Tenders Board processes; check current requirements for the particular tender rather than assuming every public contract uses the same registration platform.

Separate business records from personal spending

Use numbered invoices or consistent invoice references, reconcile bank deposits with client contracts, record supplier receipts and monitor late accounts. The IRD describes BIR file registration, books and records, tax returns and ongoing tax obligations for self-employed operators. When gross commercial supplies meet the current VAT registration criteria, review the TT$600,000 threshold and VAT rules.

A sensible launch order is: define scope; choose structure; register; prepare prices and documents; check employment obligations; secure appropriate cover; approach clients; and measure actual contract profitability after the first month. BizReg can help with business-name registration, incorporation and cash-flow projections.

Questions customers ask

Can I start a cleaning business as a sole trader?

The individual business-name pathway is available for one-person ownership where appropriate. Consider the contractual exposure and potential need for another structure as the operation grows.

Should janitorial quotations be based on square footage?

Area is one input. Work frequency, bathrooms, surfaces, access, staffing and supplies usually change the cost significantly.

Do I need to register for NIS before employing cleaners?

NIBTT publishes employer registration obligations, including registration within 14 days of employing your first worker. Establish your process before hiring.
